Accounts Payable Clerk

Advanced HPC is a fast-paced, growing high-tech company. We are a high performance computing and data storage solution provider that sells custom solutions from a single server to complete turnkey compute cluster. Our team has over 100 years of experience in the technology industry with a stellar customer satisfaction record. Our staff includes industry veterans in sales, customer service and production. Primary responsibilities:

Full Cycle Accounts Receivable Processing including:

  • Verify item costs against purchase orders and vendor quotes
  • Post high volume vendor bills in accounting software
  • Reconcile vendor statements between Quickbooks and email
  • Categorize and post credit card charges
  • Communicate effectively with vendors via email and phone regarding payment and account status
  • Issue payments by check or online
  • Audit AP system monthly
  • Assemble financial information for audits
  • Monitor sales tax reporting requirements for multiple states with state-specific rules. Process sales tax returns as required by each state.
  • Maintain an organized alpha-numeric filing system
  • Other accounting and administrative duties as needed

Skills Required:

  • Accounts payable training and/or experience.<
  • Quickbooks or similar accounting software competency. Quickbooks Enterprise Desktop Manufacturing experience a plus.
  • Working knowledge of inventory concepts and practices.
  • Must be able to follow written and verbal instructions
  • Must have meticulous attention to detail with date entry and documentation
  • Ability to multi-task in fast-paced environment.
  • Ability to proactively prioritize tasks according to company policy.
  • Ability to work independently or as a team.
  • Strong written, verbal, organizational and math skills.
  • Must be detail-oriented and meticulous.

Experience:

This position offers 40 hours per week, Monday through Friday. Candidate will be eligible to receive company benefits package (medical, dental, vision, paid holidays, paid vacation) upon successful completion of 90-day probationary period.

Duties include, but are not limited to, the following:

  • Obtain pricing for parts to be ordered from distributors.
  • Coordinate purchase of parts to maintain production schedule.
  • Create and place detailed Purchase Orders to vendors.
  • Monitor and track incoming parts for 100+ orders.
  • Update and maintain order status spreadsheet.
  • Keep management notified of any escalated issues.
  • Coordinate with production to determine ship dates.
  • Relay status information to production and sales teams clearly and effectively throughout process.

Required Skills:

  • Well organized with a strong attention to detail
  • Proficient in Microsoft Office Suite
  • Positive interpersonal skills and strong work ethic
  • Ability to work in both a team environment and independently
  • Ability to multitask in a high volume, fast-paced environment.
  • Ability to negotiate pricing.

Duties include, but are not limited to, the following:

  • Keep employee manuals and other HR resource documents up-to-date.
  • Onboard and assist new hires with employment documentation.
  • Manage payroll.
  • Manage benefits documentation, audit, payments and other requirements.
  • Provide HR advocacy and resources to employees.
  • Assist department managers employee HR issues.
  • Conduct regular interviews with employees regarding HR issues/resources, company culture and job satisfaction..
  • Verify company is complaint with all state/federal HR requirements.
  • Manage company safety protocols required by state and federal entities.

Required Skills:

  • People-person disposition with strong interpersonal skills.
  • Well organized with a strong attention to detail.
  • Knowledge of or ability to obtain knowledge of HR compliance requirements.
  • Basic math .
  • Ability to diffuse a tense situation.
